EIS recommend you add the KLZ URL https://portal.klz.org.uk to the Trusted Sites in your Web Browser. This trusts the website and does (should?!) not give you any authentication problems when opening documents or attachments etc.

If you use Active Directory or RM Community Connect then it may be worth creating a group policy to send this to your clients.

We also recommend you use Microsoft Internet Explorer 7 for the KLZ; however Internet Explorer 6 SP2 is supported.

We are pleased to announce that we successfully upgraded our Exchange 2007 Client Access Servers to Service Pack 1 at the weekend.

This upgrade gives benefits to users in the form of Personal Distribution Lists, mail rules, monthly views in the calendar, the ability to open Word, Excel and PowerPoint 2007 files as a webpage (this is cool!) and a few other minor things.

We will be upgrading the Mailbox servers in the coming weeks which will give us extra management functionality.

KLZ on Kent TV

A few facts and figures...

As you may know, the KLZ has been going strong now for a couple of months. In that time we have processed over 93,000 e-mail messages and almost 16000 Sharepoint items. There are over 40 schools on the system and over 3500 active school users.

Behind the scenes, amongst our other infratructure servers, we have 7 Exchange Servers and 6 SharePoint Servers happily chugging away!

Using Instant Messaging on the KLZ (Live Communications Server 2005)

To use Instant Messaging on the KLZ you need to have either Microsoft Windows Messenger 5.1 which is free or Microsoft Office Communicator 2005 (not 2007) which is chargeable. A free eval is available here. It is £1.98 each for the new 2007 client from Civica, if you have a Kent Microsoft Select Agreement and we can provide you with the software if you can show us proof of purchase, otherwise the CD is £18.37, from Civica. Office Communicator offers enhancement with Office 2003+ integration, slicker video and voice and many other features. Make sure you purchase the 2007 licence but 2005 media.

You may have some problems using Instant messaging if you have both Windows Messenger 5.1 and Office Communicator 2005 installed on the same PC. We recommend you pick one and stick to it.

The notes here are for Office Communicator 2005 - we will be adding the Windows Messenger 5.1 notes shortly.

To set up the software click Actions and then click Options. In Sign On Name type in your account name followed by @klz.org.uk - for example John Smith would be smithj01@klz.org.uk then click Advanced, enter im.klz.org.uk into the Server Name or IP address field and tick the radio button TLS.

Now click OK and OK again and click Sign In. Enter your username i.e. smithj01 and your password.

You should now be logged in. To add contacts, the easiest way is to click Contacts, then Add Contact and search by e-mail address such as me@myschool.kent.sch.uk

We will be evolving the Instant Messaging functionality next year and will communicate nearer the time on new features etc.

*just to clarify, the latest Office Communincator Product has just been released and is the 2007 version. However, this does not work with our current Live Communications Server 2005 setup, so therefore you have to buy the 2007 licence and back-rev it to the 2005 version, which is a supported way of running the 2005 client.

E-Mail Blocking / Content Checking - What Happens to my Mail?

The KLZ uses a combination of the Kent Community Network's Iron Port Mail Relays, Microsoft Exchange Server Transport Rules and Microsoft Forefront Server Security to protect the infrastructure and users from viruses, spam, phishing and blocked words such as profanity. 

If you have had any messages to say that your mail has been blocked by Microsoft ForeFront then please contact the EIS Helpdesk to discuss the bounce.
If mail has been blocked by the KCN Iron Port or Microsoft Exchange Server (error message such as: Your message wasn't delivered because of security policies. Microsoft Exchange will not try to redeliver this message for you. Please provide the following diagnostic text to your system administrator.) then these messages are dropped straight away so you need to check your message and resend - we cannot retrieve these.

We scan each mail for viruses, items identified as spam and also words such as swearing, racism etc.

Mobile E-Mail on the KLZ

We have had a lot of interest in picking up mobile e-mail on the KLZ.
Currently, we have no provision for Blackberry, however, we do support the Microsoft Exchange ActiveSync (Push / Pull) E-Mail.

If you have a recent Windows Mobile Device (version 5 with AKU2 or version 6) then you will be able to send and receive e-mail from your KLZ account.

How to set it up!

Start > ActivSync > Menu > Configure Server:
Server Address: portal.klz.org.uk - Tick the box for SSL > Next >
enter your username and password and KLZ as the domain. Tick the save password box to save entering your password everytime!
Tick all the boxes if you want to Sync Contacts, Calendars, E-Mail, Tasks etc. Then click Finish.

We will be setting up Active Sync policies in the future, so please set your own device passwords in the mean time.

Please be mindful of GPRS / 3G data charges - most data is charged about £1 per MB but can be as high as £10 per MB when roaming.
We recommend you contact your service provider for a modest data traiff of about 50 + MB to be sufficent.

To set when the device syncs, in Active Sync chose Menu > Schedule.
If you want true "Blackberry" push and pull e-mail, chose sync as items arrive, but this keeps a connection open to the Excange Server and uses a fair amount of data. If you have a small Data plan, such as 50MB chose every hour or so. You can still manually sync however.
